1. Scope
This policy applies to data processing when you visit oakvps.com, browse plans and support content, contact us through published channels, or use OakVPS cloud Mac services. It also covers necessary service interactions related to accounts, orders, billing, and support tickets in the Console.
This policy distinguishes four contexts: the marketing site, the Console, support communications, and rented devices. The marketing site provides public information; the Console manages accounts and orders; support communications handle specific requests; and rented devices are dedicated physical machines provided for your use. The data collected and processing purposes differ by context.
2. Data Categories
Basic access data may include the request time, page path, browser and device type, language settings, referring page, network address, and technical logs used for security analysis. This information helps operate the site, identify unusual requests, and understand how pages are used; it is not used to build sensitive profiles unrelated to the service.
When you contact us or use the Console, we may process the email address, issue description, order ID, selected model and node, rental period, payment status, time of occurrence, reproduction steps, and redacted logs you provide. Do not send private keys, signing-certificate passwords, access tokens, or complete payment credentials through marketing pages or regular email.
3. Processing Purposes
We process necessary data to create and manage accounts, accept orders, deliver dedicated physical machines, confirm service status, process renewals, respond to pre-sales and active-service inquiries, and send users notifications directly related to their orders. Without information required to complete a request, we may be unable to locate the relevant order or reproduce the issue.
We may also process technical logs and communication records as reasonably necessary to protect account and infrastructure security, prevent unauthorized access, meet required recordkeeping obligations, handle disputes, and improve site navigation, help content, and support workflows. Processing is limited to the data needed for these specific purposes.
4. Payment Information
OakVPS supports USDT-TRC20 and card payments by Visa, Mastercard, and Amex via Stripe. All payments are settled in USD. The payment gateway and order status currently available are those returned in real time by the Console.
The marketing site does not receive or directly store complete card credentials. Sensitive information required for card payments is handled by the relevant payment provider within its area of responsibility. We may receive the transaction ID, amount, currency, payment status, and risk assessment result to reconcile orders, maintain billing records, and handle disputes.
5. Device and Project Data
Each rental is assigned a dedicated physical machine, not a virtual machine. Code, repository credentials, signing certificates, model files, datasets, build caches, logs, and artifacts uploaded to the device are your project data. You are responsible for controlling access, arranging backups, and recording necessary export locations in line with your team’s policies.
Complete any required artifact downloads, project backups, and sensitive-data cleanup during the rental period. Do not use a rented device as your only backup location. Before ending use, confirm that repositories, models, certificates, logs, and build artifacts have been moved to storage you control, and revoke team permissions that are no longer needed.
6. Data Sharing and Service Providers
We disclose necessary data to service providers responsible for relevant tasks only to the extent required to provide services, process payments, send necessary notifications, maintain security, troubleshoot issues, or meet legal obligations. Each provider should access only the data required for its assigned task and should not use it for unrelated purposes.
OakVPS determines the data processing activities needed to manage accounts, orders, support, and infrastructure. Payment providers are responsible for their payment processes. Users are responsible for project data uploaded to dedicated physical machines, access permissions, and backup strategies. Valid requests made under applicable requirements are handled after we confirm their basis, scope, and necessity.
7. Retention and Deletion
Retention periods depend on the purpose of the data. Account and order information is retained as required for service delivery, billing reconciliation, dispute handling, security audits, and necessary records. Temporary technical logs and support materials are deleted, aggregated, or de-identified through internal processes when no longer needed.
You can submit a ticket through the Console or send an email to support@oakvps.com, requesting access to, correction of, or deletion of data related to you. To prevent unauthorized requests, we may ask for information sufficient to verify account or order ownership, but we will not ask you to send private keys, signing-certificate passwords, or complete payment credentials.
8. Regions and User Choices
OakVPS offers five physical nodes in Singapore, Japan (Tokyo), South Korea (Seoul), Hong Kong, and the western United States. Your node selection may affect the region where project data is located, team access routes, applicable internal organizational rules, and data-transfer arrangements between you and your collaborators.
Before placing an order, choose a node based on your project’s data-location requirements, customer contracts, team distribution, and access conditions. If your project has specific restrictions on cross-region processing, code location, or log retention, complete an internal review before uploading data and provide the selected device only with the content needed to perform the task.
9. Policy Updates and Contact
We may update this policy when our service processes, technical measures, or applicable requirements change. The updated version will display its version number and effective date on this page. For material changes to the scope of processing, we will provide notice in an appropriate location on the site or through a service channel associated with your account.
Privacy questions and requests to access, correct, or delete data can be sent to support@oakvps.com, or you can sign in to the Console and submit a ticket. Include the issue type, relevant order ID, and any necessary redacted details so we can confirm the request’s scope and process it.
This policy is governed by the laws of the jurisdiction where the platform operator is established. Any dispute arising from this policy that cannot be resolved through reasonable communication must be submitted to a court with jurisdiction in that jurisdiction.
